Staffer Quick Guide

Data entry in three steps β€” everything is saved and audited automatically. Page 2 is the floor SOP: sorting, depositing, scanning, boxing.

1 + New Batch

Pick the client and the batch kind, then check the BatchID. Replyslip batches number themselves from your abbreviation β€” STT.01, STT.02, … per client, restarting each day β€” but that is only a suggestion: type your own over it (max 6 characters, e.g. ANN.01) when the bundle is already named, or key one if the box comes up empty. The batch is created under whatever the box says.

2 Scan or key each gift

Click the dashed scan box, scan the reply slip β€” the donor fields fill in and the cursor lands on Amount. Type the amount, press Enter. No barcode? Key the fields by hand.

3 Submit Batch

When the bundle is done, click Submit Batch. This locks it and puts it in the client's daily file and weekly export. More mail? Start the next batch.

Batch kinds

ReplyslipNormal donations β€” checks, cash, credit card
WhitemailDonations without a mail package β€” nothing to scan, so key each one; the WM / DM chips above the form set the MailCode every new entry starts with, so both can share a batch
ZeroNon-donor mail β€” removals, deceased, empty envelopes ($0)
ACH / Wire, Stock,
Chargeback / Dispute
Not yours to start β€” these come from the bank statement (Reconciliation), or from Search for a bounced gift (see Bounced checks). No envelope is worked, so none of them is caging activity

Zeros: rapid scan

A Zero batch names itself ZERO (ZERO.2 for a client's second that day) β€” typeable, like any BatchID. Open it, pick the comment chip (Demands to be removed / Deceased / Duplicate / Bad CC), then scan slip after slip. Beep = saved. Buzz = problem β€” a duplicate is held back: press Enter on the empty box to save it anyway, or just scan the next slip. Wrong scan? Undo Last Scan.

Bad CCs get their own Zero batch, and the Bad CC chip turns its Yes Inactive off for you: the card failed, but the donor did answer the appeal, so they stay active.

Search

Each row is what to match plus how: Begins With (Smi finds Smith and Smithson), Contains, or Is (exact). Fill in as many rows as you know and press Enter β€” a gift must match every filled-in row. Amounts take =, >, ≥, <, ≤ (an exact amount also finds its chargeback); dates can be one day, on-or-after, on-or-before, or a range.

Source limits results to caging entries or to non-caging WinRed / Anedot donations. Results caps how many rows come back per source. Clear starts over.

Bounced checks

Go to Search, type what you know about the original gift (last name, amount, zip…), press Enter, click Chargeback… on the right row, confirm. That's it β€” the chargeback batch is made and submitted for you.

Fixing mistakes

  • While a batch is open: use Edit / Delete next to any entry.
  • After Submit: go to the Batches tab, click the batch, click Reopen β€” it returns to Open and you can fix it, then submit it again.
  • Once a batch is reconciled (delivered to the client) it can't be reopened β€” a backed-out gift enters as a new chargeback/dispute batch instead.
  • Every change is recorded in the audit trail, so fixing honestly beats working around.

End of your day

Open the Work tab β€” it lists everything you entered today with totals. Check it against your adding-machine tape before you leave.

Signing in

  • Passwords are at least 12 characters. Never share yours.
  • If MFA is on, enter the 6-digit code from your authenticator app after your password.
  • Locked out or new phone? An admin can reset your password or MFA.

Golden rules

  • One batch = one bundle of mail. Submit it before you go home.
  • Enter what's on the check β€” the system cleans zips, states, and phones for you.
  • Phone, Zip and Email are whole or empty β€” a phone is all ten digits, a zip is five (or nine for ZIP+4, where the hyphen writes itself), an email needs a name, an @ and a domain. The boxes turn red while one is part-keyed and won't let the entry save until it is finished.
  • Never enter credit card numbers anywhere. We don't store them, ever.

Standard Operating Procedure

Compass Caging, LLC Β· Sept. 2026 Β· Required reading for every new employee. Accuracy before speed, at every stage.

Mail arrives β†’ 1 Sort β†’ 2 Data entry β†’ 3 Deposit β†’ 4 Scan β†’ 5 Box β€” never mix clients at any stage.

1 Β· Sorting

The ingestion point for everything downstream, so it matters most. Accurate first, fast second.

  • When mail arrives from the USPS, separate it by client and pull out ugly mail β€” pieces that will jam the sorting machines.
  • NEVER mix clients' mail. That is contamination. Each client has its own spot for unopened mail; nothing gets mixed in the jogger or either sorting machine.
  • Eight mail types, each with a marked spot at every station: checks, cash, credit cards, white mail, zero, remove, deceased, duplicate.
  • Checks need a 1-to-1 match: the name and/or address on the check must match the reply slip, and vice versa. A check with no reply slip goes in the White Mail (WM) stack.
  • Cash: fold the bills inside the reply slip and stack in the cash pile. No reply slip? Leave the cash in its envelope and stack it with the cash. All cash must be batched and in the safe before you leave. The sorting and data-entry rooms are camera-monitored to protect against theft.
  • A reply slip with no donation is a zero. Four kinds: zero, remove, deceased, duplicate. A duplicate is extra reply slips in one envelope β€” three slips with one check means one slip goes with the check to the check stack and the other two go in the duplicate stack.
  • Read the slip. Usually "remove", "dead", or "deceased" is written plainly, but "demands to be removed… he passed away" belongs in the deceased stack.
  • Check the machines for clogs periodically β€” cuttings from the cutting wheels should be dropping into the bin underneath.

Closing procedure β€” reset the room for tomorrow

  • Clear your station: batch your stacks, cash into the safe, zeros into their bin.
  • Reset the counters on both machines.
  • Clean all trash. Clean the sorting machines.
  • Mail left to sort? Fill both machines, fill the jogger, and run it.

2 Β· Data entry β€” full attention, always Β· app steps: page 1

  • Write the Batch ID clearly and legibly in the box on the batch sheet.
  • "Retired" anywhere on the slip β†’ Retired in both Employer and Occupation (it is in each field's dropdown).
  • Self-employed box ticked (or "Self" / "self-employed" written) β†’ pick Self-Employed from the Employer dropdown; the app sets both fields to Self-Employed, even when a specific occupation is also written (do not key the occupation).
  • One batch on your desk at a time. It prevents contamination between batches and clients, and keeps a slip from being misplaced.
  • Cash batches: take them from the safe in the sorting room. Stack the bills by denomination as you key; when done, stack $100s on the bottom, $1s on top, put them in a bank bag, and walk them to National Capital Bank. Get a receipt, tape a post-it to it with the client and dollar amount, and post it in the CAGE-Daytime Employees group chat.

3 Β· Depositing

The deposit proves whether a batch was done right, so every batch must be perfect before this step β€” we are accountable for every last cent.

  • Check the client in the dropdown, then confirm the check count and dollar amount match the daily export for that batch.
  • Doesn't tie? Look for a check marked "To Be Keyed" or mis-read by the scanner β€” if that outstanding amount makes up the difference, the batch is tied.
  • If the dollars are truly off, go through every check against the daily export line by line until you find the discrepancy.
  • After a successful deposit, sign the BatchID sheet.

4 Β· Scanning

  • Scan each deposited batch to the client's folders on the shared drive. File name = the BatchID on the batch sheet: CLIENT_YYYY.MM.DD.INITIALS.NN β€” client acronym, deposit date, depositor's initials, batch number. Example: JLF_2026.09.02.AJG.01.
  • Save to the right client's folder. Avoiding contamination matters most.

5 Β· Boxing

  • One client per box β€” never mix clients.
  • Write the ClientID on every new box.
  • Date each box with its oldest and newest batch dates.
  • A box isn't done until it is completely full and the lid still fits β€” full boxes use their whole capacity and stack cleanly in offsite storage.
